Updated: Apr 5, 2021

2020 and 2021 have been hectic times for millions of engaged couples who saw their wedding plans turned upside down!

Anxiety, stress and uncertainty levels have increased so all couples out there deserve a stress-free and unforgettable day, perhaps now more than ever.

With this in mind and because it is frequent to be asked about what is the “On the day once off coordination Service” or who the “Wedding/Event day coordinator” is, we have prepared this simple guide to better present the reasons or advantages of hiring this service.

Advantages of hiring a Wedding Day coordinator

The purpose?

This service focuses on adding value to the couples/clients experience on their big day. And more:

  • It takes away the stress levels of the planning process in the weeks leading up to the wedding/event;

  • It reduces the pressure involved in the execution of the plan on the wedding/event day itself;

  • It allows the couple to enjoy their day and do not feel that they have missed something.

For Whom?

It is designed for couples/clients of their who are responsible for their full planning wedding or event, but who still wish to let the actual execution of their plan with a professional and make the most of their day.

How does it work?

This service is delivered in two key moments:

1. During the final planning weeks:

For the first moment, the planner/day coordinator assists the couple with the final adjustments & last-minute inclusions/decisions, prepares a detailed timeline or run sheet as per the information provided by the couple.

2. On the event day itself:

On the event day, the Planner/day coordinator’s main role will be to oversee the plan executed by the couple, making sure it goes as smooth as possible, checking setups, verifying if everything is ready as decided, anticipating or solving any last-minute challenges that occur, ensuring proper and timely communication with all the vendors and will act as the main point of contact for everything that may come up.

When to book?

To ease this process, it is advisable that this service is booked around 2 months up to 45 days prior to the event date.

Note that the sooner you book it, the sooner you start getting extra help!

What is the investment?

This really depends on the vendor you are considering and their conditions, but in general, you can count on a daily fee + meal supplement. Also, depending on where the wedding or event is taking place, transportation and/or accommodation costs may apply.
